The World Café is a rotating roundtable where attendees switch discussion tables/topics every 30-40 minutes.
This format allows each attendee to contribute to 4-5 different topics, while you, as the moderator, receive 4-5 diverse groups to discuss your topic with.
Attendees follow the sequence of numbers on their badges, ensuring a random rotation. As the moderator, you will have the opportunity to engage with everyone attending the conference.
Preparation:
Choose a topic relevant to most attendees and prepare 5 key questions to guide the discussion.
We will set up a board for you to divide the issue into challenges, ideas, and key takeaways.
Use the board to visualize the challenge with pens, stickers, markers, and a flipchart—we will provide all the materials.
The board allows each group to see what was discussed in the previous round and helps you summarize the outcomes.
Harvesting Session:
At the end of the roundtable, we will hold a summary session called Harvesting, where each moderator will have 3-5 minutes to present the key takeaways from their roundtable.
All materials and outcomes will be photographed and published on our event platform, hubs101.
Your role as a moderator is to guide the discussion and encourage others to share their experiences and ideas.
Begin each round with a brief round of introductions, then transition to the topic discussion.
After the first round, it’s helpful to brief new attendees on the outcomes of previous discussions.
Ask open-ended questions to stimulate conversation.
Use a mind map to document and visualize ideas as they emerge during the discussion.
Some participants may need extra encouragement. Even if they do not relate to the topic, they can still offer valuable new perspectives.
Remember, a great moderator is also a great listener!
